Question: How do I unzip and install a file received by E-mail or on disk?

Answer: Periodically, files will be sent to you via E-mail or on disk that will need to be unzipped and copied to the CHAPS directory on your hard drive. The following instructions will run you through the steps that must be followed to assure that the files are extracted correctly and into the correct drive.

When you receive a file that requires unzipping, it will have an extension of ZIP (Ex. chaps.zip) Simply double click on the filename and WinZip will open a screen that will look similar to the one below.

Click on “I Agree” to proceed with the unzipping process.

WinZip will then open a screen that will look similar to the one below both to show you what is contained in the ZIP file and to prepare you for the extraction process.

Click on the “Extract” icon at the top of the screen to open the Extract dialog box as seen below.

VERY IMPORTANT: Make certain that the directory that you are extracting to is where your CHAPS2000 program is located on your hard drive. (Most commonly, C:\Program Files\CHAPS) After you have made sure the correct directory is specified, click on the “Extract” button.

If the file that you are extracting to the CHAPS folder is an update of a current file, WinZip will ask if you want to overwrite the existing file with the new one as seen in the screen to the right. Click “Yes” to continue.

The extraction procedure will fininsh quickly and you can then close out of the WinZip dialog box that remains on your screen. To make sure the new file transferred correctly, right-click on your Start Button and select “Explore”. Locate the CHAPS folder on your hard drive and find the filename that was extracted.

YOU’RE DONE! The file has been successfully extracted!

Another feature that is very helpful when you need to email a zipped file to the CHAPS records office is shown on the right. Find the zipped file that needs to be sent via e-mail, right-click on it, choose “Send To”, then choose “Mail Recipient”. This will automatically open your email program, attach the file to your message; simply fill in the email address and complete your written message.
